Who processes your data

Vanguard Logistics Hub (hereinafter VLH, “we”) provides car hauling dispatch for owner-operators and small fleets. Data controller: Vanguard Logistics Hub S.R.L., 49 Tighina St., MD-2001 Chisinau, Republic of Moldova. This policy covers the vl-hub.com website and our work with dispatch clients.

What data we collect

Data you provide yourself: name, phone, email, preferred language, number of trucks, trailer type and the comment from the form. Operational data: MC and DOT numbers, insurance details, trip documents (rate confirmations, BOLs), settlement details. Technical site data: IP address, device and browser type, the pages you opened.

Why we use the data

To contact you after an enquiry, to dispatch your truck, to book loads and correspond with brokers on your behalf, to prepare documents and invoices, to meet legal requirements and to prevent fraud. We do not sell your data.

Contact by phone, SMS and email

By submitting a request you consent to calls, SMS and emails about your request and your service. Marketing messages are sent separately and you can opt out at any time: reply STOP to an SMS or click «unsubscribe» in an email. Opting out of marketing does not switch off service messages: confirmations, invoices and trip updates.

SMS and mobile data

Your phone number and SMS consent are not shared with third parties or partners for marketing. The number is used to contact you and by the messaging services that act on our instructions.

Before submitting the form on the site you must tick the consent box: “I agree to the processing of personal data and to contact by phone, SMS and email”. A link to this policy sits next to it. You can opt out of marketing messages at any time.

Only those without whom the service does not work: brokers and shippers, to the extent needed to book a load; factoring companies and payment services for settlements; load boards and working software; government authorities when the law requires it. Each recipient gets the minimum necessary amount.

Payment data

Settlements go through payment services. We do not store full card details; they stay with the payment provider. We keep the amounts, dates and purpose of payments.

Cookies and analytics

The site uses cookies and analytics tools so we can see which pages work and not lose data you entered when you come back to the form. Cookies can be disabled in your browser settings, after which some site features will work worse.

PostHog (PostHog Inc., USA; data is stored in the US under the EU-US Data Privacy Framework) — website analytics, session recordings and heatmaps. Enabled only with your analytics consent; form fields, e-mail addresses and phone numbers are masked in recordings.

Data protection

We apply reasonable technical and organizational measures: we limit employee access, use secure channels and company work accounts. No system offers absolute protection, and we cannot guarantee the complete security of data transmitted over the internet.

Retention periods

We keep enquiry data while we are in talks and for as long as it is needed to contact you. Client data and trip documents are kept for the duration of the relationship and afterwards for as long as accounting and legal rules require: 5 years after the relationship ends. After that the data is deleted or anonymized.

Your responsibility for data accuracy

You are responsible for the data and documents you provide being current and correct: authority numbers, insurance, settlement details. If something changes, tell your dispatcher, otherwise we cannot handle bookings and settlements correctly.

Children's data

The service is intended for business. We do not knowingly collect data about people under 13. If such data reached us by mistake, write to us and we will delete it.

Your rights and choices

You can ask what data we hold about you, ask us to correct or delete it, and withdraw consent for marketing messages. Write to info@vl-hub.com or call +1 (848) 600-5505 and we will respond within 30 days.

Email newsletters

Commercial emails are sent with the sender identified and an unsubscribe link, as CAN-SPAM requires. Opt-outs are processed within 10 business days.

Links to third-party sites

The site links to third-party services and platforms. They have their own privacy policies and we are not responsible for their actions.

Changes to this policy

We may update this policy. The current version is always on this page, with the update date at the top. We notify clients separately about material changes.
